Recruitment Process

Applications & Interviews

There are two stages to the Student Staff recruitment process.

Stage 1 – Application Submission

In this stage of the hiring process, applicants are asked to submit an online application that includes brief personal and academic information, resume submission, written response to application questions. Applications will be reviewed by the hiring panel and successful candidates will be notified if they are advancing to the next round. Applications close January 19th, 2025 at 11:59PM.

Stage 2 – Carousel/Group Interview

Successful candidates from Stage 1 will be invited to attend a carousel/group interview on February 9th, 2025. Candidates will participate in a variety of stations/activities designed to assess various Co-Curricular Record (CCR) competencies.

Stage 3 – Panel Interview

Successful candidates from Stage 2 will be invited to attend a panel (individual) interview. The panel will consist of the position’s supervisor and 1-2 other staff in the Office of Residence and Student Life. Candidates will be asked a series of questions designed to articulate how their previous work, volunteer, and lived experiences reflect the responsibilities of the role, as well as situational questions where participants will describe how they would respond to a situation they may encounter in one of our student staff leadership positions.

Applicants for Residence Life Positions (Dons, LLC Dons, and LXAs), will complete a virtual asynchronous interview prior to the in-person panel interview.

Orientation Volunteer Positions

Hiring 9 Executives

Orientation Executives (OEs) work with the Orientation Coordinators and the New College Orientation Planning Functional Group to plan, prepare, and deliver New Roots, New College’s Traditional Orientation program.

In addition to working as a team with the Orientation Coordinators and the Orientation Planning Committee, Executives will be primarily responsible for one portfolio in addition to supporting the other portfolios making up the Executive team. The bulk of the work of these roles is completed between May and September, with some final reporting required in September and October.  

Prior to New Roots, Orientation Executives attend Orientation Leader training. This includes: JOLT (Joint Orientation Leader Training) 3 days periodically throughout August, NCOLT (New College Orientation Leader Training) August 21 and 22, along with a short virtual module to be completed beforehand.  

See below for the three portfolios of the Orientation Executive team and what these roles look like in practice: 

Orientation Executive: Programs ($1,250 honoraria)

Programs Executives design and develop logistics for programs as part of New Roots Orientation, focusing on developing learning outcomes for all. This includes: 

  • Planning events and programs that includes centralized and partnered events from start to finish. This may include renting speakers, ordering supplies, and reaching out to external groups. 
  • Completing risk assessment program proposal for each event 
  • Organizing food logistics for meals and snacks during Orientation 
  • Tracking finances and spending 
  • Securing bookings with outside vendors as it relates to materials and/or activities that are part of the program. 
  • Preparing supplies and clear instructions for Event Leaders to set-up programs/events 
  • Serving as first point of contact for Event Leader team 
  • Collaborating with the OCs and other Executives to develop a sequenced schedule for programs. 
  • Long working days as Orientation approaches and through Orientation week

Orientation Executive: Marketing & Promotions ($1,250 honoraria)

Marketing and Promotions Executives develop, market and monitor the (social) media presence for New Roots Orientation. This includes: 

  • Contributing to the production of the program’s visual identity (logo, branding, schedule etc.) 
  • Working with graphic designer to develop logos and media templates 
  • Moderating social media content and working with Orientation Influencers to create engaging real-time posts 
  • Communicating key pieces of information (registration, ticket pricing, contests, schedule etc.) to incoming students via email (using MailChimp) and social media (Instagram, TikTok, and Facebook).  
  • Updating New College website and student guide as it relates to Orientation programming 
  • Engaging incoming students through developing interactive and informative social media campaigns. 
  • Serving as first point of contact for Orientation Influencer team 
  • Long working days as Orientation approaches and through Orientation week

Orientation Executive: Volunteer Management ($1,250 honoraria)

Volunteer Management Executives are responsible for the logistics of program support and staffing as well as the development of a caring Orientation Leader team (Peer Leaders, Event Leaders, Orientation Influencers). This includes: 

  • Working with the OCs and all Executives to add staffing components toa logistics package for the New Roots Orientation program.  
  • Organizing socials and team-building opportunities for Executive and leaders 
  • Engage with leaders online on Teams and Discord 
  • Develop group-time logistics and activities and work with Peer Leaders to ensure they know them 
  • Create leader groups 
  • Working in partnership with ORSL staff to manage the team database to determine and update assignments throughout the summer and into September.  
  • Executing internal communication with all members of the Orientation Team. 
  • Serves as first point of contact for Peer Leader time, and also the first point of contact as it relates to general leader absences, issues as they arise, etc. 
  • Long working days as Orientation approaches and through Orientation week

Orientation Peer Leaders (Volunteer)

Peer Leaders act as leaders and role models to incoming students during New Roots Orientation and New Journeys International Welcome.  

What this role looks like in practice: 

  • Prior to New Roots, Orientation Peer Leaders (PLs) attend Orientation Leader training. This includes: JOLT (Joint Orientation Leader Training) 3 days periodically throughout August, NCOLT (New College Orientation Leader Training) August 21 and 22, along with a short virtual module to be completed beforehand. 
  • During New Roots, Peer Leaders are assigned a group of students. Peer Leaders are responsible for welcoming these students and facilitating connections, conversations, and fun! 
  • Peer Leaders may answer questions of incoming students, share resources and help make referrals to services on campus. 
  • Assist with Residence Move-In Day on Sunday, August 24 where they will assist incoming students find their residence rooms and assist with bags where possible 
  • Working as a collaborative peer team with Event Leaders and Orientation Influencers 
  • Long working days through Orientation week (August 25-29). These days can be up to 12 hours long (10am-10pm), with breaks, free meals and more low energy moments throughout. 

This role might be right for you if: you love being in groups, being a conversation-starter, and being a mentor to students who may be looking for guidance and support.

Orientation Event Leaders (Volunteer)

An Event Leader’s (EL) purpose is to create a smooth and supportive environment for incoming students by ensuring Orientation programming runs efficiently and effectively. More specifically, they focus on executing pre-planned event logistics, contributing to the seamless operation of programs and activities. 

What this role looks like in practice: 

  • Prior to New Roots, Orientation Event Leaders (ELs) attend Orientation Leader training. This includes: JOLT (Joint Orientation Leader Training) 3 days periodically throughout August, NCOLT (New College Orientation Leader Training) August 21 and 22, along with a short virtual module to be completed beforehand. 
  • Taking leadership in event and program set-up and take-down in consultation with the Executive and logistics documents 
  • Set-up and take-down of meals and snacks 
  • Assisting with running of events when needed, and offering general “just on time” assistance to the Executives and Orientation Coordinators` 
  • Assisting with Residence Move-In Day on Sunday, August 24 where they will assist incoming students find their residence rooms and assist with bags where possible 
  • Assist with New Journeys International Orientation as needed 
  • Working as a collaborative peer team with the Peer Leaders and Orientation Influencers 
  • Long working days through Orientation week (August 25-29). These days can be up to 12 hours long (10am-10pm), with breaks, free meals and more low energy moments throughout. 

This role might be right for you if: you prefer clear-set tasks, like hands-on work and responsibility over tasks (rather than responsibility for a group/people), you might prefer less-social work, and like to help-out where needed.

Orientation Influencers (Volunteer)

An Orientation Influencer’s (OIs) purpose is fostering an environment that supports the start of incoming students’ development by contributing to creating a positive, high-energy and caring culture of Orientation. 

What this role looks like in practice: 

  • Prior to New Roots, Orientation Influencers (OIs) attend Orientation Leader training. This includes: JOLT (Joint Orientation Leader Training) 3 days periodically throughout August, NCOLT (New College Orientation Leader Training) August 21 and 22, along with a short virtual module to be completed beforehand. 
  • Assist with New Journeys International Orientation as needed 
  • Leading cheers and songs and bringing the hype to the New College community 
  • Teaching and facilitating icebreakers with small and large groups 
  • Being a digital ambassador for Orientation on New College social media channels 
  • Capturing real-time events and social content as it is happening 
  • Assisting with Residence Move-In Day on Sunday, August 24 where they will assist incoming students find their residence rooms and assist with bags where possible 
  • Working as a collaborative peer team with the Peer Leaders and Event Leaders 
  • Long working days through Orientation week (August 25-29). These days can be up to 12 hours long (10am-10pm), with breaks, free meals and more low energy moments throughout. 

This role might be right for you if you: love singing or cheering loudly, don’t mind showing your face on social media, and you get energy from seeing others get hyped up.

[TBA] Orientation Graphic Designer

The Orientation Graphic Designer is a student volunteer with New College Orientation. The Orientation Graphic Designer’s helps to develop the visual identity for New College Orientation by creating a logo, t-shirt design, promotional graphics, and other requested material for Orientation-related marketing. The position reports to the New College Orientation Coordinators (OCs) and works closely with two Marketing and Promotions Executives on the Orientation Team.

Key Responsibilities

  • Meet with members of the Orientation executive team to conceptualize a brand guide
  • Use brand guide to develop graphics for New College Orientation 2024 including, but not limited to: New College Orientation 2024 logo, t-shirt designs, and social media campaign templates
  • Meet with members of the Orientation executive team to present design options, discuss feedback, and finalize designs
  • Other duties as assigned within the scope of the required work

Qualifications

  • University of Toronto student. New College student preferred
  • Experience in graphic design (personal/hobby, semi-professional, and professional experience are all welcomed equally) 
  • Ability to provide final products in requested file formats, including .AI, .JPEG, and .PNG 
  • Strong communication and organizational skills 
  • Experience managing projects from conceptualization to completion 
  • Ability to work largely independently within a given framework of deadlines
  • Available for up to six in-person meetings in June and July, subject to availability, during the hours of 9am to 5pm EST. Virtual or distance work is acceptable. In-person meetings are required.

Remuneration

  • This is a volunteer position that is awarded an honorarium of $1000 at the completion of contract tasks.

SPROUT Mentorship Volunteer Positions

The SPROUT Mentorship Program is one of the biggest mentorship programs at New College and is centred around supporting incoming students with transitioning into their first year of university at New College and the University of Toronto. Our three SPROUT mentor roles support their mentees in various ways such as virtually with our E-Mentors, 1-on-1 support with our Peer Mentors, and through group socials and a focus on student wellness with our Group Wellness Mentors.

E-Mentors

E-Mentors are upper-year student leaders who play a vital role in shaping the first-year experience through the SPROUT E-Mentorship Program as they are the one of the first student leaders incoming students engage with. E-Mentors offer 1-on-1 virtual support to a large set of mentees via email correspondence and personalized entries on the My New Roots newsletter bi-weekly throughout the summer. E-Mentors are given the opportunity to leverage their leadership skills, knowledge about resources and opportunities at the University of Toronto year(s) of experience as an undergraduate student to assist students in their transition into the student life experience at New College, the University of Toronto, and even to the city of Toronto. 

E-Mentors will act as role models and representatives of the college as they support and build mentor relationships with their mentees. E-Mentors will receive training, ongoing support, and mentorship from the Student Life Coordinator, Programming and Mentorship. In return, they are expected to submit deliverables consistently, take initiative, and follow through on their commitments to their mentees. 

Key Responsibilities

  • Responding to email inquiries from mentees by answering questions about New College, the University of Toronto, and the student experience as well as making resource referrals 
  • Supporting fellow E-Mentors where needed as it pertains to E-Mentorship 
  • Submitting responses for each blurb onto the My New Roots newsletter by the communicated deadlines

Peer Mentors are upper-year student leaders who play a vital role in shaping the first-year experience through the SPROUT Mentorship Program. They offer 1-on-1 support to 1-3 mentees, primarily from the incoming class of New College students, including transfer students. Peer Mentors are given the opportunity to leverage their leadership skills, knowledge about resources and opportunities at the University of Toronto year(s) of experience as an undergraduate student to assist students in their transition into the student life experience at New College, the University of Toronto, and even to the city of Toronto. 

Peer Mentors will act as role models and representatives of the college as they support and build mentor relationships with their mentees. Within this in-person role, there are also opportunities to build community amongst fellow mentors and other mentees through monthly social gatherings. Mentors will receive training, ongoing support, and mentorship from the Student Life Coordinator, Programming and Mentorship. In return, they are expected to show up consistently, take initiative, and follow through on their commitments to both mentees and fellow mentors.  

Key Responsibilities

  • Scheduling and facilitating 1-1 meet-ups IN-PERSON with your mentee(s) at least once a month from September to April 
  • Submitting brief monthly reports on all meet-ups and cases in which support was provided to mentees 
  • Supporting Group Wellness Mentors and Professional Staff with events when needed (e.g., set-up, clean-up, leading travel groups on commutes for field trips etc.) 
  • Meet one-on-one with the Student Life Coordinator, Programming and Mentorship at least once per semester

Group Wellness Mentors are upper-year student leaders who play a vital role in shaping the first-year experience through the SPROUT Mentorship Program. In small teams, mentors plan and lead inclusive, engaging social events that foster connection, well-being, and a sense of belonging for new students grouped by program stream. 

This is more than an event-planning role — it’s a meaningful opportunity to build community, support peers during a critical transition, and grow as a leader. Mentors will receive training, ongoing support, and mentorship from the Assistant Dean, Wellness and Engagement. In return, they are expected to show up consistently, take initiative, and follow through on their commitments to both mentees and fellow mentors. 

Key Responsibilities

  • Collaborate in a team of 2–8 Mentors to support a group of first-year Mentees 
  • Attend monthly team meetings with the Assistant Dean, Wellness and Engagement starting in July or August (virtual and/or in-person over the summer; in-person through the academic year) 
  • Plan and facilitate: 
    • Four 2-hour, drop-in style social events in September (one per week) 
    • One social event per month in October, November, January, February, and March 
  • Design and submit a program proposal for each event using design thinking principles (training provided) 
  • Manage event logistics, oversee budgeting, and adhere to reimbursement processes (training provided) 
  • Engage in evaluation and reflection for each event and for the broader mentorship program 
  • Meet one-on-one with the Assistant Dean, Wellness and Engagement at least once per semester
